Who we are
Eastbound Cleaning Solutions is an exterior cleaning business based in Great Yarmouth, Norfolk. We decide how the personal information on this page is used, which makes us its “controller” under UK data protection law.

What we collect
When you ask for a quote on this website
- Your name and phone number, and your email address if you give it
- Your town or postcode
- The services you tick and anything you write about the job
- Any photos you attach, up to four
With each request we also record the date and time, the page you sent it from, your browser, your internet (IP) address, and the exact wording of the box you ticked. That shows what you agreed to, and helps us tell a real enquiry from automated spam.
Photos taken on a phone can carry the location they were taken. We only use them to look at the job.
When you call, text or email us
Your number or email address and what you tell us about the job.
If you book work with us
Your name, the address of the property, your contact details, the work agreed, the price, and our invoice and payment records.
When you browse the website
Our web host keeps standard server logs, including IP addresses, to run the site and keep it secure. We don’t use analytics or advertising tracking, and visitors get no cookies. Our cookie policy has the detail.
How we use it
- To reply to you, price the work and arrange a visit
- To carry out the work and invoice for it
- To keep the tax and accounting records the law requires
- To keep the website and the quote form secure
We don’t sell your information, and we don’t send you marketing unless you’ve asked for it.
Our legal basis
- Steps you ask for before a contract. Answering a quote request and pricing the job.
- Contract. Carrying out work you’ve booked.
- Legal obligation. Keeping tax and accounting records.
- Legitimate interests. Keeping the website secure, stopping spam, and dealing with any question about work we’ve done.
The tick box on the quote form confirms you’re happy for us to store your details so we can reply. We keep a record of the wording you agreed to.
Photos of the work
We may photograph the surfaces we clean, before and after, and use the pictures on this website and our social media. If you’d rather we didn’t use photos of your property, tell us before or after the job and we won’t.
Reviews
If you send us a review and we show it on this website, we show your first name, your town and the job it was for. Ask and we’ll take it down.
Who we share it with
Only the people who help us run the business, and only what they need:
- Fasthosts Internet Ltd, our web host, stores the website and the quote requests on its servers.
- Our email provider holds the notification email each quote request sends us.
- Ace21 Industries, who build and look after this website, can see quote requests when they maintain or fix it.
- Professional advisers, such as an accountant, where we need them for tax and accounts.
We’ll also share information if the law requires it. If any of these providers handles data outside the UK, it has to do so with the safeguards UK data protection law requires.
How long we keep it
- Quote requests sent through this website are deleted automatically, with any photos, two years after they arrive.
- Emails, texts and call records about a quote are kept only while they’re useful and are cleared out regularly.
- Records of work you’ve booked, including invoices, are kept for six years for tax purposes.
- Server logs are kept by our web host for a short period under its own policy.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete your information, unless the law says we have to keep it
- limit how we use it, or stop using it for a particular purpose
- send it to you or someone else in a common digital format

Keeping it safe
Quote requests are stored in the website’s admin area, which only people we authorise can sign in to. They are never published, and the whole site runs over an encrypted (HTTPS) connection.
Complaints
If you’re unhappy with how we’ve handled your information, tell us first and we’ll try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we use your information, we’ll update this page and the date at the top.
